The Project Administrator will be working closely with the Project Manager and Operations Manager to schedule, coordinate, and document all aspects of new project deployments, both domestic and abroad, and will need to
develop a strong understanding of our product lifecycle from manufacturing, logistics, assembly, commissioning, and operation. They will work closely with both external vendors and internal team members across all global offices to ensure accurate and timely coordination so good communication and collaboration skills are essential. This role will grow in line with the long-term expansion plan in the GCC region with the goal of realizing strong operational excellence.

What You’ll Do

  •  Schedule, attend, and take notes during all project related meetings (i.e. sending meeting invitations with concise meeting agendas and recording assigned tasks and next steps)
  • Prepare and distribute relevant meeting materials
  • Assist the Project Manager in all planning and administrative duties across all projects
  •  Identify and break down projects into doable tasks with duration estimates
  • Ordering resources with vendors for Material, Manpower, and Logistics in the GCC
  •  Preparing vendor documents including reviewing and comparing quotations, drafting Terms & Conditions, drafting LPOs, creating and assigning payment tasks
  •  Track expenses and predict future costs
  •  Communicate pertinent information between management and staff
  •  Follow up with internal and external stakeholders for deliverables to monitor and track progress
  • Tracking and commenting on weekly team schedules via team management platform and shared team calendars
  •  Assign, collect, review, and organize project related documentation according to project schedules

Skills You’ll Need

  • 3+ years of relevant work experience (i.e. Project Administrator / Coordinator)
  • Hands-on experience with flowcharts, technical documentation, Gantt charts, and schedules
  •  Fluent knowledge of project management software (i.e. MS Projects,
  •  A proven track record of coordination, organization, and time management skills
  • Confident and articulate communicator with strong presentation skills.
  • Excellent influencer capable of maintaining relationships at all levels internally and externally
  •  Strong ability to identify and present valuable solutions
  •  Strong team-player and self-motivated. High level of energy and drive to achieve team targets and KPIs
  •  Bachelor’s degree or the equivalent in experience and evidence of exceptional ability
  •  Used to working under pressure with tight deadlines. Disciplined, organized, excellent attention to detail
  •  Languages: business professional English and Arabic required. Hindi, and Urdu are a plus
